  • Exports arrive on a Shcedule Saved templates can run daily, weekly, monthly or every few days and land in your own SharePoint folder, either open-ended or until a date you set. The people who need Monday figures have them on Monday without asking anyone for them.
  • Your own tools can read them Teams with a data function take those exports straight into Power BI and build whatever they like on top. Report Builder can strip identifiers on the way out, so what leaves the system carries only what the recipient is entitled to see.

It breaks every visit into individual days and counts what was accepted, declined and cancelled, split by reason for visit. That does two jobs no spreadsheet does well: it shows a commissioner exactly what was delivered under their agreement, and it evidences to a grant funder how many visits you had to decline for lack of staffing.

We provide a schematic for the report builder so you are never left wondering which table holds a field you are looking for.
Can we stop people seeing reports they should not?
Yes for the reports most people touch. Static reports are tightly permissioned, so a catering team can be given their report and nothing else, and Report Builder is restricted to the data team and trained administrators because it reaches the whole record.
Can all staff build reports, or only the data team?
This is your choice. Everyday reporting reaches the operational record, people, bookings, events, referrals and assessments, but not the contents of notes or care plans, so it is safe to open up widely. Report Builder reaches everything, which is why it stays with the data team and the administrators you train.
When do we need Report Builder rather than a static report?
Static reports cover most requests. Report Builder is there for the questions we haven’t written a report for.
Can reports be delivered automatically?
Yes. Templates run daily, weekly, monthly, annually or every few days, delivered to your SharePoint folder on the schedule you set with an audit of what reports have been exported
Can we get the data into our finance system?
Yes. The invoicing report lists every booking drawn against a funding agreement, groups them into one invoice per funder, and exports in a form built to import into your finance system, so nobody re-keys a month of bookings into Sage or QuickBooks.
